Position Overview:
The Warehouse/Shop/Delivery Specialist is fully responsible for; proper warehouse inventory control processes in regards to receiving shipments and maintaining the inventory in proper locations; responsible for all cleanliness, safety and maintenance of all company grounds, buildings and other assets in a manner to display a professional business appearance at all times; responsible for the delivery of route supplies for the company’s pre-sell and delivery program for all branch locations; delivery of stock transfer inventory to all company branch locations; responsible for in-shop customer equipment repair services; responsible for assisting on project installations in house and on farm as necessary; and perform duties temporary at times in relief or assist in relief of traditional routes specialist in the event of an unexpected or expected absence.
General Responsibilities:
- Facilities including buildings inside and out, as well as all grounds and signs must be kept at the most professional appearance and organized at all times as possible.
- Maintain and/or assist in maintaining a “Shop List” which to include, but not limited to for such items as project installation preparations, asset maintenance, inventory maintenance, and/or building and grounds maintenance. Specific Responsibilities and Duties:
Warehouse and Inventory Control:
- Required to obtain and maintain forklift training certificate.
- Responsible for maintaining warehouse safety and monitoring of proper safety policies and procedures as well as DOT and HAZMAT compliance procedures are being followed by route, delivery and other personnel.
- Complete daily warehouse and vehicle security checklist before leaving the property such as, but not limited to windows and doors being closed and locked.
- Follow proper inventory receiving procedures and complete proper documentation processes as soon as possible.
- Inventory documentation tasks are to be completed by you personally, not office personnel immediately as the process is completed and handed into the office for further processing for such areas, but not limited to as stock transfers, ordering, stock out, remove from stock, return to stock, shipping and receiving.
- Responsible for adequate knowledge of the company’s inventory software and processes to be self-sufficient from the office personnel involvement required to complete all of your inventory duties.
- All shipments received on a daily basis must be checked in and put away in the warehouse, store and parts rooms following proper procedures as soon as possible. Processing pending parts orders are a priority for timely service and installation scheduling.
- Responsible for the proper documentation, packaging, loading, unloading, picking up, and/or delivery for any type of vendor or customer returns and/or pending orders.
- Keep all inventories in warehouse, shop, parts rooms, and store always put away in the correct locations and in a neat appearance while using proper inventory rotation procedures.
- On a daily routine conduct store inventory level checks and maintain proper stock levels at all times.
- Responsible for the duties and inventory needed on hand required for the sanitation supplies repackaging process and inflation changing service. On a daily basis, duties include, but not limited to are cleaning empty barrels, refilling barrels, labeling barrels, documentation, putting full barrels as well as empty barrels away in their correct location, washing of shells, and stuffing of new inflations into clean shells. (Proper safety glasses and clothing to be worn at all times).
- Assemble any new equipment or supplies required and put away in proper location.
- Under the guidance of the office staff personnel responsible for warranty and returns, maintain inventory to be returned is cleaned, is in returnable condition and properly labeled. Package and properly label all warranty and return inventory shipments.
- Assist Office staff taking care of customers that come into the store that need parts, supplies loaded, and/or equipment repaired.
- All inventories in such areas of rack and shelving storage, but not limited to for piping, fabrication material, motors, compressors must be put away in correct locations, organized, properly labeled and in neat appearance at all times.
- Complete general weekly routine tasks such as, but not limited to, of keeping all areas of the warehouse and shop clean and organized at all times, loading of empty pallets and empty totes, unloading of salt or towels, and unloading all other vendor shipments.
- Complete routine inventory counts, packaging, shipping, receiving, picking up of, and assist in preparing purchase orders for such inventory commodity areas, but not limited to of consumables, shop supplies, fabrication materials, plumbing, electrical, fabrication, and tubing inventory, resurfaced milk pump back plates, rebuilding of circuit boards, rebuilding of vacuum pumps, and any other type inventory to be sent in for some type of refurbishing, as well as the proper Freon inventory documentation and tagging.
- Complete routine inventory duties and documentation for service and sales in such areas, but not limited to, of putting together and maintaining stock levels of “in-house” parts kits, rebuilt equipment, and the staging of monthly scheduled service parts required for each customer.
- When an obvious need is observed or requested by other staff personnel, assist in the loading or unloading of route trucks, delivery trucks, service trucks, installation trailers, as well as assisting in the staging of equipment for project installations.
- Assist install staff with restocking installation trailers to proper stock levels after each installation use.
- Responsible for processing and the documentation of all project installation inventory returns and the returned inventory is properly put away.
- Process used equipment brought back on trade and being put into inventory by disassembly, cleaning, rebuilding if needed and filling out proper inventory control paper work and putting the inventory away correctly.
- Assist at all time with proper overall Inventory Control Management.
- Assist with physical inventory when performed at all branch locations.
Shop and Maintenance:
- Provide project installation support mainly in-house but on the job site in times of need.
- Keep all commonly stocked in-house fabricated inventory at adequate stocking levels, such as, but not limited to, second use tank level control alarms, stainless brackets for hanging various equipment, boot wash grates, etc.
- On a daily routine, for all buildings, offices, rooms, and bathrooms, all garbage containers must be emptied into the dumpster, all boxes and burnables must be burned or placed in the burnables cart.
- On a daily routine, all grounds and buildings including shop areas, warehouse areas, inventory storage areas and store area should be free of loose debris, kept clean, organized and kept in the most professional appearance possible.
- On a daily routine all random new, used, warranty inventory and tools must be put away in their proper storage locations. Responsible to seek out the perpetrator and reasons for this unacceptable behavior and make the proper corrections to minimize this from becoming a repeated occurrence.
- On a weekly routine, all burnable materials in the cart, buildings, or grounds should be burned as often as weather permits.
- On a weekly routine, floors in all buildings, vehicle bays, inventory areas, offices, rooms and bathrooms should be swept.
- Routinely keep all outside grounds kept clean and organized by such duties, but not limited to, as putting all empty pallets and totes stacked in an organized fashion, all trailers are properly parked, all company vehicles not used on a daily basis are kept parked away from day to day parking areas, scrap metal and garbage is kept cleaned up, and used or new inventory stored outside is properly organized.
- Maintain inventory of full gas tanks at all times for the forklift.
- Responsible for all company asset repairs and maintenance for such items, but not limited to, as buildings, vehicles, tools, grounds and any other such assets.
- Routinely inspect all buildings inside and out, offices, rooms, and bathrooms for weak or non-functioning light bulbs or exhaust fans and make the necessary replacements and repairs.
- Routinely maintain salt levels in all water softeners to approximately half full.
- Perform capable repairs, routine maintenance (example fluid and filters), asset movement to location of repair, and assist with the timely maintenance schedule for all such assets as, but not limited to vehicles, forklifts, powered carts, lawn and grounds equipment, tools, and any other related company assets.
- Responsible for making sure the routine duties of lawn and grounds care are completed for such areas, but not limited to, the lawn is mowed and trimmed weekly with some areas needing twice per week, weeds are eliminated around road sign, buildings and parking lot by means of pulling or spraying, damaging rocks are removed from the lawn, gas barrel is kept at an adequate level at all times, mower is blown off each use, oil levels are checked each use, and deck is removed and pressure washed at times.
- Responsible for the annual and day-to-day maintenance and the cleaning of the lawn mower, trimmer, and sprayer after each use. Blades should be replaced when needed and a spare set of sharp blades ready at all times.
- Responsible for making sure snow removal and/or salting is handled by you or arranged and communicated to management of others handling the duties in a very timely manner that will not compromise employee and customer safety or in any way will not disrupt day to day operations.
- Responsible for annual and day-to-day maintenance of all snow removal equipment.
Delivery and Route Support:
- Required to maintain a commercial driver’s license with HAZMAT and airbrake endorsements while employed.
- Maintain, follow, perform, and complete all DOT, HAZMAT and other Safety compliances at all times such as but not limited too; daily vehicle inspections and manifests.
- Properly fill out and hand in all accurate documentation required for all delivery and route processes.

SPECIFIC RESPONSIBILITIES:
A. CUSTOMER SERVICE:
- Greet store customers and other store traffic with a smile, and assist them with their purchases or questions.
- Verify a store customer’s account status (no business, COD, new) prior to a sale. All COD customers will need to be collected from upon sale. If “no business,” inform management immediately.
- Provide new customers with a Wisconsin sales tax exemption certificate if applicable, and have them complete.
- Provide new customers a credit application and credit policy form to apply for credit.
- Process customer credit applications within two weeks of receipt. When processing is complete, provide to Accounting Manager for credit approval.
- Answer telephones, and dispatch incoming calls accordingly.
- Receive and dispatch incoming work orders to service technicians and monitor.
- Maintain and assist with the organization of store and merchandise, and verify merchandise is stocked at the appropriate level.
- Maintain a list of all equipment and product literature to provide to customers, and verify literature is stocked at the appropriate level.
- Field customer account questions. All credits and adjustments must be approved by Accounting Manager.
- Enter and maintain customer information in database software. Examples of information include: Addresses, phone numbers, salesperson codes, group codes, and comments data (account status changes, receipt of credit applications, etc.).

B. ACCOUNTS RECEIVABLE AND ACCOUNTS PAYABLE FUNCTIONS:
- Generate route time sheets, AR Aged Trial Balance reports by route, and open prepay account sheets daily for each route salesman. Customer accounts must match on route time sheets and AR Aged Trial Balance report. Dollar amounts must match on the AR Aged Trial Balance report and the open prepay account sheets.
- Invoice customer route and delivery tickets, route discounts, and store receipts daily.
- Invoice customer service, installation, and project orders.
- Enter route sales, by route and salesman, to the Route Sales Report daily.
- Apply customer payments, complete deposit, and deliver to bank daily.
- Print, assemble, and mail customer statements at mid-month for all activity from the 1st to the 15th of the month, and at month end. Attach copies of invoices and credit notes represented for the respective period on the statements to ensure customers receive the detail to their account balances.
- Enter customer prepay sales orders.
- Enter vendor expense payables (non-inventory invoices) and credits weekly verifying validity of charges.
- Reconcile vendor statements and investigate any discrepancies weekly.
- Submit co-op advertising claims to vendors according to their criteria, and verify credits received.
- Enter and maintain vendor information in database software. Examples of information include: Remit to addresses, phone numbers, ordering information, and comments data.
C. REPORTING:
- Record employee timesheets daily.
- Enter non-billable labor hours into a sales order and invoice monthly.
- Monitor customers and forms with regard to the Route Prospecting Program.
- Route sales reports: Monthly, reconcile the route sales report spreadsheet against the database software report. Enter reconciled totals in the monthly spreadsheet.
- Efficiencies: Monthly, calculate and enter into the spreadsheet service technicians’ labor hours and dollars. Information compiled from database software historical sales reports.
- On-call sheets: Monthly, enter into the spreadsheet service technicians’ on-call days and emergency calls. Information reconciled against database software historical sales reports.
- Update annual Advertising spreadsheet with invoice and credit note information upon entering documents in database software weekly.
- Update the Vehicle maintenance spreadsheet with invoice and credit note information upon entering documents in database software weekly.
- Maintain asset recording spreadsheet and label newly acquired assets.
- Maintain New Route Customer Sales spreadsheet information and keep consistent with customer information in database software.
- Maintain and file Scheduled Service notes and readings in customer Scheduled Service spreadsheets.
D. INVENTORY PROCESSING:
- Order, receive, and invoice inventory according to company policies and procedures.
- Generate Reorder Reports for analysis and ordering of truckloads.
- Check in and put away deliveries and truckload shipments, and apply barcode labels to applicable parts.
- Generate “Special Order Report” a minimum of twice per month and verify items have been invoiced to customers.
- Process, return, and track all warranty, return, and doa items in accordance with company program and vendor criteria.
- Process in-house inventory transfers, assemblies, and adjustments.
- Assist with annual physical inventory process.
E. MARKETING AND PROMOTIONS:
- Design, get approved, and print the monthly flier.
- Design, get approved, and mail direct mailing promotional materials.
- Maintain the company profile document.
- Design and collect information for customer profiles.
- Design and maintain the company website and other social media.
- Organize and coordinate the annual company Open House.
- Assist with the organization and production of tours on customer dairies.
- Organize and maintain all digital copies of marketing and promotional materials like logos, profiles, and fliers.
- Order, address, and mail Christmas cards for select customers and vendors annually.
- Order and process calendars to distribute to route and scheduled service customers annually. Note on each calendar for each customer the expected route and/or scheduled service dates for the year.
F. GENERAL OFFICE DUTIES:
- Forward phone line to answering service at 4:30pm daily and inform them of the service technicians on-call. Remove the phone line from the answering service at 7:30am daily.
- Monitor and order all general office supplies, pre-printed forms, check stock, and statement stock.
- Serve as contact for uniform cleaning service; monitor costs, orders, and cancellations.
- File customer invoices, vendor invoices, PO’s, and reports.
- Pickup, sort, and distribute the mail daily.
- Sort and distribute update pages for various manuals.
- Assemble and distribute company price pages.
- Attend company sponsored trainings.
- Assist with the on-call scheduling.
- Assist with special projects as needed.
- Adhere to company policies and procedures.
